Job Description
Purpose of the role:
Ensure all general services, proper functioning, and maintenance of facilities at Experian offices. Address all internal customer requests in day-to-day operations, meeting standards of timeliness, quality, and cost-effectiveness.
Deliverables:
- Ensure proper maintenance and functioning of facilities and all office equipment (videoconferencing, TVs, paper shredders, and water dispensers) and their connections, among others.
- Monitor and control daily operations of Experian offices to ensure timely and efficient provision of cleaning services, cafeteria services, cleaning supplies, cafeteria supplies, stationery, preventive and corrective maintenance.
- Monthly reports on equipment and systems maintenance, tracking of pending tasks.
- Area management indicators month by month.
- Reports on consumption of cleaning supplies, cafeteria supplies, and stationery, courier services, taxi expenses, and/or travel allowances.
- Management reports corresponding to the Facilities management.
Job Responsibilities:
- Conduct audit tours of offices to monitor activities carried out by cleaning and facilities maintenance contractors.
- Track work schedules of cleaning and maintenance personnel.
- Ensure company facilities are in optimal working condition and appearance.
- Update service provider and maintenance management reports.
- Conduct inventory, asset write-offs, and donations according to schedule.
- Request cleaning supplies, cafeteria supplies, and stationery; control existing inventory.
- Process all purchase requests for proper area operations.
- Coordinate courier services.
- Receive and process documents arriving at the office.
- Manage office access cards for personnel and/or clients as needed. Coordinate activation or deactivation of access cards.
- Verify and monitor all damage and repair activities for facilities and equipment.
- Schedule preventive and/or corrective repairs and maintenance.
- Address all internal customer complaints and requests in day-to-day operations, meeting standards of timeliness, quality, and cost-effectiveness.
- Control maintenance warehouse inventory.
- Coordinate visitor access to offices.
- Manage reports on consumption of cleaning supplies, cafeteria supplies, stationery, courier services, and taxi expenses.
- Manage outsourced service providers.
- Support the human resources area in organizing office events.
Qualifications
- Experience: More than 2 years of experience working in administrative areas, general services, or Facilities, managing maintenance processes and facilities management. Ability to interact with people and respond to their needs, knowledge of occupational safety requirements and facilities operations.
- Education: Professional degree in Architecture, civil/electrical/industrial engineering, business administration, or related fields.
- Required technical knowledge: Proficiency in Office (Word, PowerPoint, Excel), Oracle.
