We are looking for an Executive Assistant who is as excited about AI as they are about operational excellence. This is not a traditional operational role – you will own end-to-end projects, represent the executive team in high-stakes external communications, and be the person inside Brightbeam who is constantly asking: could AI do this better? If you have built automations, transformed your own workflows with AI tools, and thrive in the sort of fast-moving environment where no two days look the same, we want to hear from you.
You will manage complex multi-timezone calendars, coordinate trade missions and customer events, and keep the CEO and senior executive team moving at pace. The role demands someone who spots problems before they surface, acts without being asked, and brings calm clarity to multiple urgent demands.
Key requirements:

5+ years as an Executive Assistant or equivalent senior EA role

Experience working with multiple senior figures simultaneously at director or C-suite level

Demonstrated, consistent use of AI tools in your professional work – with specific examples of how AI has improved your efficiency or output quality

History of working on your own initiative with full accountability – not embedded in a large PA/EA team

Strong self-motivation for remote working

Exceptional attention to detail in all written communications

Complex travel and logistics crisis management at executive level

Experience in a fast-paced startup or high-growth environment

You have built or implemented at least one meaningful AI-powered automation in your work

You present options to executives rather than making choices on their behalf

You craft every external communication to fit the stakeholder context

You are direct enough to chase senior people and flag when something is not working

Our hiring process:
First round screening interview (45 mins), followed by a second round with two members of senior management (60 min take-home exercise before interview + 45 min discussion), final discussion with CEO (60 mins), and structured references.
