The Administrative Associate will support Disability Support Services (DSS) at The George Washington University. DSS is committed to providing equal educational opportunity and participation for all students at GW. The Administrative Associate will be responsible for the following:
Office Support
- Provides front desk support through the monitoring of the DSS central email inbox, phone line, and in-person office appointment check-ins and inquiries
- Supports the Executive Director/504 Coordinator through initial receipt and response of Accessibility Barrier Reports and Disability Accommodation Petitions
- Provides support for new student registration and supporting documentation inquiries and monitors the accommodation database, Accessible Information Management (AIM) database, or other systems as needed
- Responsible for initial stakeholder outreach and department scheduling for DSS Events Calendar
- Reviews and processes vendor invoices using the university procurement system (e.g., ASL, CART, Closed Captions)
- Oversees monitoring the use of and ordering needed varied office supplies.
Financial Support
- Provides department budget review and maintains system to track budget totals. Processes payments of invoices, monitors budget expenditures, obtains release numbers for blanket purchase orders, and purchases through iBUY/SAP Concur. Processes Supplier Registration packets for new vendors. Completes Worker Classification Review Forms for tax department review. Processes reconciliation and submission of PCARDs reports.
- Using the TRS system transmits hours and maintains payroll records for all DSS employees.
Personnel Support
- Works with Human Resources to post vacant staff positions, hire new employees, and support employees leaving the university. Completes forms for regular staff, student workers, and contract employees as needed.
Special Projects
- Actively participates in strategic initiatives for DSS and within Academic Affairs.
The position is based at GW’s Foggy Bottom Campus in Washington, DC. The incumbent may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
