The George Washington University (GWU) School of Medicine and Health Sciences (SMHS) is the sponsoring institution for residency and fellowship programs accredited by the Accreditation Council for Graduate Medical Education (ACGME). The Graduate Medical Education (GME) Office provides oversight and support for all ACGME-approved residencies at GWU SMHS and all of its affiliate institutions.
The GME Program Associate, Anesthesiology serves as a primary administrative resource for clinical medical students, clinical departments, and affiliated training sites to support the administration of clinical education programs.
Program Accreditation:
- Provides professional assistance to the physician program directors in their respective residency and fellowship programs to maintain program accreditation with the Accreditation Council for Graduate Medical Education (ACGME).
- Prepares and coordinates materials and resources for the ACGME site visit reviews to include preparation of the site visit document; determines and solicits documentation and statistical information needed from affiliate sites and affiliate site directors to complete the site visit document, works directly with the ACGME site visitor to plan the site visit schedule and to provide all documentation requested by the reviewer.
- Initiates, develops and implements residency and fellowship program policies as required by the ACGME in conjunction with physician residency directors and the GME Office.
- Reviews and assesses current ACGME program and institutional requirements for each individual program; monitors requirements for changes, assists the Program Director in implementation.
- Completes all ACGME-required updates on the ACGME WebADS for each program.
- Monitors duty hours for all residents and fellows and analyzes data to determine compliance with ACGME duty hour rules.
- Monitors resident compliance with completion of ACGME surveys to ensure 70% required compliance rate is reached for all programs.
- Prepares required documents and participates in program reviews of all programs as required.
Resident and Fellow Education:
- Create and Maintain residents and fellows didactic schedule to include procurement of space and speakers and documentation of attendance as required by ACGME.
- Schedules and proctors In-Service examinations per requirements; must be available on Saturdays when the exams are scheduled.
- Develops evaluation tools for programs; monitors evaluation process (MedHub) at GWU and at all affiliate sites to include evaluation of residents and fellows by faculty after each rotation; evaluation of faculty by residents, evaluation of program by faculty and by residents, semi-annual evaluations of residents and fellows, final written evaluations of graduating residents and fellows, and evaluations of residents by multiple evaluators, including patients, medical students, peers, and other evaluations as required by the individual ACGME program requirements.
- Obtains 360 evaluations of resident performance by interviewing patients in clinical settings, if required by program director.
- Monitors resident completion and accuracy of ACGME required case procedure logs on the ACMGE website.
- Completes credentialing packet for resident rotations to Affiliate sites.
- Arranges appropriate elective rotations for residents and fellows.
Professional support for Physician Program Director, Resident Physicians, and GME Office:
- Prepares required duty hour, evaluation, and procedure reports; analyzes data for resident/fellow compliance with process and for trainee and program compliance with ACGME requirements
- Completes annual GME Track online information on programs and residents/fellows for AAMC database
- Documents verification of training for medical specialty boards for each resident/fellow as per the requirements of each specialty board
- Monitors medical specialty board pass rates for graduates from the programs and reports 5-year data as required by the ACGME.
- Completes CIS forms for returning residents and fellows annually and submits to GME Office.
- Maintains all current and alumni resident/fellow files with documentation as per specific ACGME program requirements.
- Counsel residents as appropriate on program requirements, policies, and regulations.
- Establishes and maintains up to date websites for each program.
- Attends monthly Residency Coordinator meeting with GME Office staff and other residency coordinators.
- Maintains professional expertise through attendance at professional meetings, review of current literature and contact with other GME professionals.
Fiscal Responsibilities:
- Participates in annual budget planning and implementation for all programs; monitors and tracks the budget throughout the fiscal year.
- Creates rotation schedule on the MedHub system for all programs; posts all rotations for all residents and fellows on MedHub schedule to ensure that all rotations are calculated on the IRIS report for Medicare reimbursement to the institution; monitors all schedules for changes and completes verification checks as required by GME Office; generates and analyzes audit reports from the MedHub system to determine and correct errors as required to maximize Medicare reimbursement to the institution.
Resident Recruitment:
- Manages the recruiting activities for the residency and each individual fellowship program.
- Manages the Electronic Residency Application System for (ERAS) for program applicants; provides access for faculty interviewers; downloads candidate files from AAMC post office; screens candidate files and provides files of those who meet hiring criteria to program director.
- Plans and executes all aspects of approximately interview days to include scheduling of candidates and faculty interviewers and provision of all applicant materials to interviewers.
- Assists with preparation of rank lists for the National Resident Matching Program (NRMP) for all programs by deadline date.
- Prepares and submits new hire paperwork and copies of application packets to GME Office for selected candidates
- Plans departmental orientations for all new residents and fellows in each of the programs.
