We are looking for a proactive and highly organised Trust Support Coordinator to join our close-knit and collaborative team at New Zealand Trustee Services (NZTS). This role plays a key part in supporting our Trust Managers and General Manager in delivering exceptional client service and ensuring the smooth operation of trust-related processes and documentation. You will liaise with a wide range of stakeholders including clients, lawyers, accountants, banks, and advisors, contributing to strong relationship management and professional service delivery.

You’ll be responsible for preparing trust documentation, managing internal processes, supporting compliance activities, and assisting with day-to-day operations and administration. This is a varied and rewarding role suited to someone with strong attention to detail, a customer-first mindset, and a willingness to be part of a team that works together and supports one another.

Key Responsibilities

  • Prepare and manage trust documentation such as trust deeds, minutes, and invoices
  • Liaise with external stakeholders including clients, solicitors, accountants, and financial institutions
  • Maintain accurate electronic and physical records, and manage filing and correspondence
  • Support colleagues with client meetings and occasional attendance.
  • Ensure documentation is correctly signed and distributed, and assist with day-to-day office tasks

Skills, Knowledge & Expertise

  • Proven administration experience, ideally in legal, trust, or financial services, with Legal Executive experience strongly preferred
  • Strong communication skills and ability to build rapport with clients and professionals
  • High attention to detail, accuracy, and strong time management
  • Sound knowledge of Microsoft Office and general computer literacy
  • Understanding of compliance obligations such as AML, FATCA, and CRS (preferred)
