Job Highlights:
Contract: Independent Contractor
Work Schedule: 20 hours per week, ideally Monday to Friday between 9:00 AM to 1:00 PM PST
Role Overview:
We are seeking a highly organized, proactive, and detail-oriented individual to provide a blend of personal assistant and operations support. This role is perfect for someone who enjoys managing day-to-day personal tasks while also having experience with business operations, logistics, and data management—particularly within the NetSuite environment. You’ll support both the personal and professional needs of the client, keeping schedules on track, handling logistics, and ensuring smooth workflows between teams and vendors.
Key Responsibilities:
Personal Assistant Duties
• Manage and organize the client’s calendar, schedule appointments, and set reminders
• Coordinate personal and business travel arrangements
• Conduct online research and provide concise summaries
• Handle online errands like shopping, bill payments, and reservations
• Organize personal documents and handle sensitive information confidentially
• Plan personal events or family gatherings
• Liaise with staff, vendors, and service providers
• Provide daily or weekly task and schedule updates
Operations Support Duties
• Enter and maintain Purchase Orders, Transfer Orders, and Sales Orders in NetSuite
• Reconcile inventory transactions and support accurate reporting
• Coordinate logistics, including receiving shipments and capitalizing freight costs
• Validate 3PL invoices and work with providers to resolve discrepancies
• Maintain organized records for audits and internal reporting
• Communicate with internal teams and third-party partners to resolve order-related issues
Requirements
• Proven experience as a Personal Assistant or in a similar administrative/operations support role
• Proficiency with NetSuite, especially in order management, inventory, and logistics modules
• Strong written and verbal communication skills
• Excellent attention to detail and organizational skills
• Proficiency in Microsoft Office (especially Excel and Outlook) and G-Suite
• Ability to manage multiple priorities and work independently
• Discretion and a high level of confidentiality
• Ability to work within PST hours and manage time effectively
