General Purpose:

The People Operations Administrative Assistant supports the People Operations team in delivering seamless employee experience across the entire employee lifecycle. This role is responsible for executing administrative tasks related to the employee lifecycle, recruitment, communication, compliance, engagement and community service. The ideal candidate is detail-oriented, proactive, and thrives in a people-centric environment. This role will report to the People Operations Director.

Essential and Supervisory Duties & Responsibilities:

Employee Lifecycle:

  • Manages candidate touchpoints during the pre-hire phase (6 to 1 month(s) prior to start).
  • Assists with new hire onboarding and completion of the new hire checklist, including but not limited to: completing the background check process; sending orientation preparation emails; scheduling new hire trainings across all departments; initiating and monitoring completion of sexual harassment and new hire trainings, as well as acknowledged job descriptions; validating the completion and proper storage of new hire paperwork; preparing new hire desks; and sending remote new hire folders.
  • Collaborates with training teams to finalize orientation templates and content.
  • Completes tasks for new hires and terminations, including updates of birthday/anniversary tracking calendars, changes to the company org chart, and maintenance of current employee bios.
  • Adds new employees to systems including Becker, Predictive Index, RM Birthday Calendar and the Company Intranet site and sends orientation emails where required.
  • Ensures assignment of required new hire trainings via Paycom Learning.
  • Reviews and records the Image and Likeness responses for each new hire.
  • Where required for Colorado Interns, shares Healthy Family Workplaces Act (HFWA) documentation and creates HFWA tracking profiles.
  • Saves new hire documentation from Paycom into personnel files once all checklists and documents are completed.
  • Sends required employment law notices and end-of-week check-in emails.
  • Initiates the new hire 30/60/90 and exit surveys, tracking and reporting the information to the People Operations Director.
  • Assists with periodic audits of documents and spreadsheets.
  • Takes regular inventory of People Operations supplies, recruiting swag, and new hire items.
  • Performs general office duties such as filing, copying, scanning, mailing, and provides administrative support to members of the People Operations team.
  • Assists with setting up, scheduling and running of the Richey May Intern programs under the direct guidance of the People Operations Coordinator.

Recruitment:

  • Coordinates all campus recruiting efforts including but not limited to career fairs, Meet the Firm events, Beta Alpha Psi club presentations and networking events.
  • Creates effective relationships with campus contacts, firm leadership, and hiring managers.
  • Works closely with the Firm’s marketing team to manage campus recruiting assets, including swag, banners and informational materials.

Communication:

  • Ensures the company intranet is kept up to date, including but not limited to: posting the monthly electronic newsletter; adding employee birthdays and work anniversaries; updating Predictive Index reports as needed; and creating and maintaining employee bios.
  • Updates Becker platform for new hires and terminated employees.
  • Updates and maintains HR content on the firm’s Intranet to ensure accurate and updated information is available.

Compliance:

  • Tracks and manages HFWA and PTO entries for firm.
  • Distributes PTO templates annually.
  • Tracks and manages time entries, meetings, teambuilding events and credit card usage for the People Operations team.
  • Reformats job descriptions to match required templates.
  • Supports Learning & Development (L&D) initiatives including data pulls and setup.

Engagement:

  • Acts as a positive touchpoint and helpful resource for candidates, new hires, and employees.
  • Responds to employee inquiries or directs them to appropriate People Operation contacts.
  • Assists in the monitoring of various Engagement Budgets and Policies.
  • Supports the Richey May BeWell initiative by maintaining regular updates to the BeWell intranet page and assisting in coordination of BeWell events and activities.
  • Orders human resource related items including new hire, mentor, baby arrival and life celebration gifts.

Community Service:

  • Works in conjunction with the Welcome Ambassadors, providing administrative and scheduling assistance to Richey May Cares initiatives, including review of annual program offerings.

Job Qualifications:

Knowledge, Skills, and Abilities:

Education or Formal Training:

  • Highschool diploma or GED required.
  • Bachelor’s degree in human resources or related field from an accredited college or university preferred.

Experience:

  • 1 – 3 years of experience in an HR support role preferred.
  • An equivalent combination of education and experience may be substituted on a year-to-year basis.
  • Industry specific experience strongly preferred.

  • Candidates must pass a criminal background check.

Hourly Range: $23.00/hour- $27.00/hour
