Monday to Friday, Flexible during client business hours, 8 AM – 2 PM Oakland, CA time

Role Overview:
We’re seeking a highly organized, self-managed Operations & Outreach Manager to lead our studio’s daily operations, client acquisition, and digital presence. This person will manage the studio’s listings across booking platforms, maintain customer satisfaction, promote our services—including podcast and audiobook recording—and continuously find ways to grow and optimize the business.
Responsibilities
Platform & Studio Management
- Register and manage listings on platforms like Peerspace and other studio rental directories
- Ensure all listings are optimized with accurate descriptions, competitive pricing, and high-quality visuals
- Oversee day-to-day space readiness and implement efficient workflows for studio use
Social Media & Marketing
- Respond to booking inquiries and questions within 1–2 hours
- Ensure a seamless and welcoming experience for all clients
- Gather client feedback and implement improvements to enhance satisfaction and encourage repeat bookings
- Assist clients with basic file delivery or follow-up after their session
Client Outreach & Lead Generation
- Execute outreach strategies to connect with podcasters, content creators, and authors
- Build and nurture relationships within the podcasting and audiobook community
- Create targeted outreach campaigns to attract new clients, with daily lead follow-up and tracking
- Track outreach efforts in a CRM (e.g., Notion, Airtable, HubSpot) or organized spreadsheet
Daily Workflow:
- Respond to all inquiries within 1–2 hours
- Post and engage on social media platforms daily
- Reach out to 5–10 new potential clients per day
- Update platform listings and monitor analytics
- Track leads, conversions, and studio usage metrics weekly
- Support smooth client handoff and follow-up post-recording
Requirements
Required Qualifications:
- Proven experience in operations, studio coordination, or customer service
- Strong background in social media marketing and engagement
- Demonstrated success in lead generation and client outreach
- Detail-oriented and organized, with excellent communication skills
- Self-starter who can work independently and proactively suggest improvements
- Comfortable working in a fast-paced, evolving environment
Operational Skills We’re Looking For:
- Strong time management and task prioritization skills
- Familiarity with scheduling tools and calendar coordination
- Basic troubleshooting skills to assist clients using studio gear (no engineering needed) and performance reporting
- Comfortable with CRM tools or spreadsheet tracking for client interactions
- Able to identify and recommend new platforms or communities to promote services
- Organized in managing digital files, session notes, and simple invoice support
- Able to build and improve workflows, documentation, and internal processes
Bonus Points For:
- Experience in podcasting, audiobook production, or creative media industries
- Familiarity with platforms like Peerspace, Splacer, Giggster, etc.
- Proficiency in tools like Canva, Notion, Google Workspace, and social scheduling apps
- Experience growing a service-based business or managing client pipelines
