About the role:
You will be responsible for the successful management of resources and planning of workflow between our event marketing teams and the central partnership teams (Creative Studio, CRM, Digital, Programming, and Operations). You will be the lynchpin to ensuring that marketing projects are delivered efficiently, on time, and on budget by managing a centralised company wide calendar of work.
This role plays a crucial role in ensuring the smooth and efficient communication between stakeholders. They ensure projects are briefed adequately, stakeholders are aligned, manage delivery expectations, and efficiently manage creative timelines. Their responsibilities encompass a range of tasks related to project management, team coordination, and overall workflow optimisation.
What you will do:
Project Management/Scheduling and Planning: Creating and maintaining project schedules to ensure projects are delivered on time by setting realistic timelines, assigning tasks, and tracking progress. Managing a project from briefing to completion – taking briefs, consolidating business needs, managing outputs and ensuring deadlines are met and timelines and progress is communicated.
Resource Allocation: Allocate resources such as manpower, equipment, and workspace efficiently to meet project requirements and deadlines.
Budgeting: Often play a role in managing project budgets, tracking expenses, and ensuring that projects are completed within financial constraints.
Workflow Optimisation/Process Improvement: Continuously evaluate and refine workflow processes to enhance efficiency and productivity. Asana is our current project management system, however, there may be implementation of tools or software to further help streamline tasks and improve collaboration.
Problem Solving/Issue Resolution: Responsible for resolving issues promptly and effectively should challenges or conflicts arise during a project. This may involve reassigning tasks, adjusting timelines, or finding alternative solutions.
Administrative Tasks/Documentation: Handle administrative tasks such as documentation, reporting, and record-keeping. This includes maintaining project files, tracking project progress, and generating reports for stakeholders. Reviewing resource schedules and booking freelancers if required.
Preferred Skills:
Experience of working within design or creative agencies (8 years or more)
Having an understanding or experience in Events
Excellent communicator, positive but realistic with the ability to judge the appropriate way to communicate problems according to the audience.
Calm under pressure and skilled in managing peak periods in the lead up to events.
Experience in using Asana or familiar using any other work management platform
Supplying reports to outline progress and flag any foreseen challenges regarding time and resources.
Ability to plan multifaceted, multi stakeholder, complex projects with a long term outlook (one to two years in advance) with transparency across the business.
In essence, this role is a key figure in the successful execution of creative projects. Their ability to balance the creative aspects of the work with organisational and managerial responsibilities is crucial for the overall success of the agency.

Position Type: Permanent, 4 day working week (4 day working week for 5 days’ pay!)
Working Pattern: 4 day working week, hybrid - 3 days in the office, 1 day working remotely (Every Friday – non working day as standard)
