Implementation Project Manager

We're looking for a driven and detail-oriented Implementation Project Manager to join our team. In this role, you’ll be the key point of contact for new customer implementations, responsible for delivering a seamless onboarding experience that sets our customers up for long-term success.

About Administrate

Administrate is a training management platform used by hundreds of companies around the world to plan, schedule, communicate, and resolve issues in our customer's training organizations. Our mission is to provide an industry-leading platform that enables enterprises to run their training function more efficiently and effectively so that they can focus more on connecting with people than administering programs.

We’ve evolved rapidly in recent years, with our platform now serving enterprise customers at scale. With headquarters in Edinburgh, Scotland, a growing presence in Bozeman, Montana, and team members working remotely across the globe, we're proud of the momentum we’ve built—and even more excited about what’s ahead.

Administrate is committed to being the Ultimate Human Organization. We build software, but it’s our people who make us—and our customers—successful. We hire from a wide variety of backgrounds because diverse perspectives make us stronger. If you share our values, we’d love to hear from you.

Who You Are

You’re an experienced software implementation Project Manager who thrives on structure, clear communication, and driving successful outcomes. You believe in the value of strong project governance and know that cross-functional collaboration is essential to delivering projects on time and within scope. You keep stakeholders aligned and informed, clearly tracking dependencies, risks, and always having a proactive mitigation plan at the ready.

You're customer-focused and excel at building rapport with both internal teams and external clients. You're not afraid to have tough conversations when necessary and are skilled at managing expectations with empathy, professionalism, and practicality.

You’re known as someone who delivers—your word carries weight because you follow through. You bring a solution-oriented mindset to every challenge, striving for excellence without losing sight of what's realistic and impactful. “Good enough” isn’t good enough for you—you bring pride and precision to your work, but you also know how to prioritize and move things forward.

You thrive in dynamic, collaborative environments, where smart, driven people come together to get meaningful work done. You’re energized by autonomy, allergic to unnecessary bureaucracy, and always looking for ways to improve how things are done.

What You’ll Do

As a key member of our Professional Services team, you’ll lead the end-to-end delivery of implementation projects, ensuring every engagement aligns with the contracted Statement of Work (SOW) and delivers measurable value to our customers. You’ll play a critical role in shaping the customer experience and helping our customers get the most value from our platform right from the start.

Key Responsibilities:

  • Serve as the primary point of contact for customers throughout the implementation lifecycle. Proactively communicating project status to both internal and external stakeholders.
  • Own the project plan—tracking milestones, deliverables, dependencies, and scope adherence. Maintaining accurate timelines and progress updates within project tracking tools.
  • Facilitate cross-functional collaboration and lead meetings to keep project teams aligned and on track.
  • Proactively identify and escalate risks, blockers, or scope issues, and drive resolution to maintain project momentum.
  • Provide clear, timely communication to all stakeholders, ensuring transparency and confidence in project progress.
  • Partner closely with internal teams to continuously improve delivery processes and customer outcomes.
  • Driving project momentum by leading productive meetings, managing action items, and keeping teams aligned on deliverables.
  • Managing project scope and ensuring alignment with the Statement of Work to prevent scope creep.
  • Identifying and escalating risks or blockers that could affect timelines, deliverables, or customer satisfaction.
  • Keeping customers informed, engaged, and confident by ensuring they always understand the current status and next steps of the project.

What You’ll Need:

  • Proven experience managing SaaS implementations, preferably in a customer-facing role.
  • Excellent written and verbal communication skills, with the ability to effectively interface with customers and cross-functional internal teams.
  • Demonstrated ability to manage multiple concurrent implementation projects with varying levels of complexity.
  • Strong attention to detail and organizational skills.
  • A proactive mindset—able to identify complex challenges and take initiative to bring the right people together to solve them.
  • A strong sense of ownership and accountability—you take pride in seeing a project through to successful completion.
  • Ability to work independently and collaboratively to support company and customer objectives.
  • Comfort working across global time zones via web conferencing, with occasional in-person customer meetings as needed (health guidelines permitting).
  • A team-first mentality with a genuine passion for helping customers and colleagues succeed.
  • Solid business acumen and understanding of customer goals and outcomes.
  • PMP or equivalent project management certification strongly preferred.

What You'll Get

  • Enjoy working as part of a talented team where everyone’s input is valued
  • An unrivaled work/life balance – you work a 4-day, 32-hour, week but get paid for 5 days!
  • 22 days holiday per year (based on a 4 day week) plus 6 Company holidays
  • Great tools – MacBook, 27” monitor, mechanical keyboard etc
  • Flexible working schedule
  • 401K with matched contributions
  • Excellent health cover
  • Vision and dental
  • Accidental death and dismemberment insurance
  • Entirely private and confidential access to our resident therapist
