Avoq is seeking an Executive Assistant to support the Managing Partner and Strategic Communications Partners. This person will help guide and assist senior leadership by using their excellent organization, communication, and interpersonal skills to optimize the leader’s schedules and ensure that they can continue to deliver results for our clients.

WHAT YOU’LL DO
Administrative:
- Manage the appointment calendar of the Managing Partner.
- Manage the expense reporting for the Managing Partner and Strat Comms Partners as needed.
- Proof-read company and client-facing documents.
- Reserve travel arrangements.
- Schedule client, new business and internal meetings and organize supporting materials.
- Manage local marketing events.
- Support updating of select client budgets and expenses.
Project and Relationship Management:
- Coordinate the creation and review of agendas and relevant materials for key staff strategy sessions, team meetings and internal communications as needed.
- Act as a project manager and facilitator for external meetings by greeting priority guests and promoting the timely start and end to scheduled meetings.
- Work with relevant departments to prepare briefing information for the Managing Partner before external or internal meetings and ensure required next steps are scheduled and completed.
- Support key office initiatives such as employee engagement trainings, company events and all- staff meetings, as needed.
As a qualified candidate, you have experience in:
- At least 2 years of relevant administrative support experience
- Ability to multi-task in a fast-paced environment while keeping a professional demeanor
- Exceptional verbal and listening communication skills
- Outstanding writing and editing skills
- Adept at project and process management
- Proficient in Microsoft Office suite of products
- Able to manage multiple projects and deliverables simultaneously
- A positive, professional and “can do” attitude
- Must be able to work both independently and collaboratively
- Desire and ability to take on increased responsibility as position evolves
- As this role supports a key members of the Executive Team and Senior Leadership Team, there may be occasional assistance required outside of regular work hours

The salary range for this role is $50,000 - $75,000
