Are you an event-planning guru who thrives in a fast-paced, startup environment? We’re looking for a dynamic, adaptable, and results-driven Events Coordinator to join our team and help bring Gecko’s brand to life at events across the UK and US, as well as the virtual landscape.

The Gig �*
As our Events Coordinator, you’ll be at the heart of bringing Gecko’s brand to life through exciting, engaging events that drive customer engagement and generate leads.
This is a full-time role, with flexibility required during busy periods. You’ll work closely with our marketing and sales teams to manage diverse events - both in-person and virtual - across the UK, EU and US, ensuring Gecko is front and centre at key industry moments. This is your chance to take ownership of event planning and execution while helping shape the future of student engagement!
What You'll Do…
Event Planning & Execution �*
- Lead event planning alongside marketing and sales to elevate the Gecko brand and deliver results.
- Manage diverse complex, multi-day events, held during UK and US hours, such as in-person conferences and forums, alongside webinars and roadshows.
- Coordinate logistics, ensure smooth event delivery, and adapt to challenges when they arise.
- Stay ahead of industry trends to ensure our events always stand out.
Stakeholder & Vendor Management �*
- Build relationships with internal teams and external vendors to ensure seamless event execution.
- Work closely with customers during events to ensure their needs are met and their experience exceeds expectations.
Post-Event Analysis & Reporting �*
- Gather feedback and analyse event data to measure success and improve for next time.
- Collaborate with the sales and marketing teams to refine strategies based on learnings.
Budget & Resource Management �*
- Keep event budgets in check while ensuring every dollar spent maximises impact and value for our customers.
Travel & On-Call Availability �*
- Be prepared to travel to in-person events as needed and also provide support events, taking place during US hours.
Who We’re Looking For �*
If you’re someone who thrives in a startup environment and is all about getting things done, we want to hear from you! Here’s what we’re looking for:
- Event Planning Pro: You’ve got experience planning, coordinating, and executing events, ideally within SaaS, tech, or higher education sectors and ideally in both the UK and USA.
- Conference Expert: Experience planning and managing conference-style events (e.g., multi-day conferences, trade shows, or forums) is essential.
- JFDI Attitude: You’re a go-getter with a “just get it done” mentality. You thrive in a fast-paced environment and make things happen.
- Creative Thinker: You can think outside the box and come up with fresh, innovative ideas to make our events unforgettable.
- Organised & Detail-Oriented: You’ve got strong organisational skills and can handle multiple events at once without dropping the ball.
- Tech-Savvy: You’re familiar with tools like CRM and marketing platforms (Salesforce, HubSpot) and are quick to learn new systems.
- Team Player: You love collaborating with others to bring big ideas to life, whether that’s internally or externally.
- Customer-Centric: You know how to deliver value for our customers and ensure their needs are always a priority.
- Adaptable: Events never go exactly as planned, and you’re someone who thrives in dynamic, ever-changing situations.
- Problem-Solver: When things go off-track, you stay calm under pressure and find solutions quickly.
- Flexible Attitude: Happy to travel as needed and support events during US hours when required.
- Location: Although this is a remote position, ideally you will be in commutable distance to Edinburgh as our events logistics warehouse is located here (hence the 'hybrid-remote'). It’s not a deal breaker if you’re not though!
