The opportunity
QBE European Operations (EO) are recruiting for a Board Support Administrator on a 12 month fixed term contract to join our ever-growing Company Secretariat team as part of the wider Legal function. This role is an integral part of the team and will provide high quality administration and team support. This is the perfect opportunity for someone with a keen eye for detail and a passion for working with senior stakeholders in a fast-paced environment.
Your new role
- Arrange, administer, and facilitate meetings within the formal governance structure which includes the formal Board, Committee and Management Group meetings as required. This will involve liaising with numerous departments/EAs/PAs to check availability of attendees, sending meeting invites, in addition to other logistical and operational arrangements for meetings..
- The collation and review of meeting papers, building meeting packs and uploading these to an electronic Board portal and a Sharepoint site.
- Maintain oversight of the Company Secretariat Outlook calendar which is used for sending out governance meeting invites amongst other information recorded on the calendar. .
- Provide appropriate support for other Company Secretarial activities including: the, signing of documents; Notarisation and Apostilling of documents including Powers of Attorney and other similar documents, and oversee the budget for these costs; and monitoring the review of regulatory documents by the team.
- Assist with KYC requests and other ad hoc requests for information/documents.
- Build and maintain strong and effective relationships with the Company Secretariat and Legal teams and other key stakeholders eg Non-Executive Directors.
- Assist with maintaining up to date entity records, including the electronic statutory register database (Diligent Entities, formerly known as Blueprint) and filings at Companies House supported by relevant team members as required
- Ensure key documents used by the Company Secretariat team are kept up to date, including structure charts and list of meetings scheduled through the year
About you
- Previous experience in corporate governance, company secretarial or legal roles preferred.
- Excellent organisational skills with a keen attention to detail.
- Proficiency in Microsoft Office Suite and document management software.
- Exceptional written and verbal communication skills.
- Ability to liaise with senior stakeholders of the business.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- Discretion and integrity in handling confidential information.
