About the Administrative Coordinator position

Evenings & Weekends Consulting is looking for an Administrative Coordinator to join our small but growing team. They will be responsible for ensuring the smooth running of our administrative functions and client relationship management.

Responsibilities (include but are not limited to):

  • Provide administrative support to the Principal Consultants and team

  • Coordinate, prepare, edit and/or proofread documents such as correspondence, presentations, meeting agenda and reports

  • Coordinate and schedule meetings and organize required materials

  • Maintain and update contact lists, databases and clients’ folders

  • Support with making clients’ data more accessible, understandable and usable (Data Visualization)

  • Provide support with social media engagement and basic website updates

  • Support invoicing to clients and payment of suppliers/vendors, as well as employee reimbursements

  • Attend meetings with clients as required and ensure proper recording of minutes

  • Coordinate travel arrangements as needed

  • Conduct general research and analysis as required

  • Research RFP and ​​assist the Principal Consultants with proposal process as required

  • Assist with vendor relationship management and prepare consultant agreements as needed

Job Requirements:

  • Demonstrated commitment to anti-racist and anti-oppressive frameworks

  • Experience in grassroots organizing, activism or the non-profit sector

  • Exceptional communication skills

  • Exceptional project and time management skills and multitasking abilities

  • Well-developed understanding of virtual office systems (Google Suite, Zoom, Adobe Acrobat)

  • Detail-oriented and a proactive and creative problem-solver

  • Good judgment and analytical skills with a focus on attention to detail

  • Experience managing social media an asset

  • Knowledge of Wix (website design & management tool) an asset

  • Knowledge of accounting software (Wave or other) an asset

Required Qualifications, Knowledge and Experience

  • Must be legally authorized to work in Canada.

Salary: $60,000 plus extended health benefits (4-day work week - 32 hours per week)

Reports to: The Principal Consultants

Location: Virtual

Vacation: 4 weeks + 1-week March Break + 2-week Winter Shutdown

Wellness/Sick Days: 16 Days Personal Days: 4 Days

Start date: November/December 2022 (to be discussed with selected candidate)
