Job Description
As an Administrative Assistant, you’ll be the backbone of this creative powerhouse, managing crucial backend operations that keep the business running smoothly. You’ll handle everything from lead follow-ups and booking confirmations to client communications and invoice management. This role offers a unique blend of customer service, organizational skills, and creative industry exposure. You’ll work in a fast-paced, artistic environment where no two days are the same, contributing directly to the company’s growth and success.
Responsibilities
- Conduct follow-up calls with leads, converting inquiries into confirmed bookings
- Manage client communications, responding promptly to emails and event inquiries
- Create and send professional invoices for client bookings
- Utilize Canva to design basic marketing materials and event-related graphics
- Assist in developing manuals and lesson plan booklets for various creative services
- Input and organize information into templates and digital document systems
- Confirm event details with clients, ensuring all logistics are in place
- Update and maintain the customer relationship management (CRM) platform
- Coordinate festival and event participation, managing a busy calendar of engagements
Requirements
- Excellent verbal and written communication skills, with a friendly and professional demeanor
- Proficiency in Canva and basic office software for creating visually appealing documents
- Strong customer service orientation with experience in client relations
- Self-motivated with the ability to work independently and take initiative
- Exceptional organizational skills and attention to detail
- Experience with CRM systems preferred but not required
- Interest or background in arts and creative fields is a plus
- Ability to thrive in a dynamic, fast-paced environment
- Comfortable with multitasking and prioritizing tasks effectively
