Salary: £24,000 - £28,000 depending on relevant skills, knowledge and experience. The expected salary range for this role reflects internal benchmarking and external market insights. London weighting may be applicable for this role.

In the run up to the 2024 Children in Need annual TV appeal we are looking for a data associate to join our team to get hands on experience of managing the charity’s incoming donations and fundraising data. Within this role you will;

  • Maintain and develop the existing semi-manual Charity CRM data import and export processes, ensuring that data quality and accuracy is high and the solution remains ‘fit for purpose’ in supporting Income generation, Marketing, Supporter Care and Insight strategies.
  • Assist in the maintenance of the CRM through application of existing system processes, including GDPR retention policies, deduping, data cleansing and Gift Aid processing.
  • Develop and maintain the existing CRM process and user guide documentation and ensure relevant resources are made available to all stakeholders via the Insight Hub.
  • Support stakeholders across multiple CIN divisions with insight, analytics and reports generated from the CRM, as well as with various ad hoc and regular data related projects and tasks.

Main Responsibilities

The Data Associate will report to the Data Systems Manager, within the Insight team. This team works across all areas of Children in Need in supporting the delivery of our organisational objectives through the generation of insight and data to inform decision-making. The main focus of the Data Associate will be on Fundraising related data and systems, including;

  • Download commercial data from multiple sources and be responsible for cleansing it using Excel Power Query, VBA and/or SQL, and importing it into our CRM – checking exception reports to ensure accuracy and spotting errors and trends that need the Data Systems Manager’s attention.
  • Maintain the coding structure of the commercial data, including CRM classifications, financial coding, libraries and look ups, to ensure our data is allocated and segmented accurately.
  • Work with the Data Systems Manager to cleanse CRM data, performing de-duplication and record consolidation routines on a regular basis.
  • Ensure customer opt-ins and preferences are kept up to date in the CRM and that we comply with GDPR regulations at all times.
  • Assist in the application of our GDPR retention policies, ensuring data is anonymised or deleted in accordance with our rules in a timely manner.
  • Build and maintain system procedure documentation, for both technical and end users of the CRM.
  • Support annual Appeal activity, including providing data for the Marketing and Commercial teams on key initiatives (e.g. fundraising packs, direct debits and donations)
  • Work with the Marketing Coordinator to ensure CRM alignment with the email marketing delivery system
  • Respond to ad-hoc data requests from all CRM data stakeholders, extracting, analysing and sharing data as required, ensuring adherence to GDPR principles at all times.
  • Support the Data Systems Manager in preparing the CRM Gift Aid Declaration data prior to submitting Gift Aid claims on a regular basis.
  • Use Excel Power Query, VBA and/or SQL to feed Tableau data sources with commercial data from various sources and the CRM, to ensure Fundraising and Income dashboards are up to date.
  • Support the Data Systems Manager with the move towards system-to-system integration and data process automation, providing analysis, feedback and detail from the existing CRM related processes when required.

Are you the right Candidate?

The successful candidate will have:

  • Experience of cleansing large datasets to ensure data accuracy.
  • Experience of using Excel Power Query, VBA and/or SQL to analyse and cleanse / code large datasets.
  • Knowledge of / experience using fundraising/commercial CRM databases, specifically Access Charity CRM
  • Driven by working closely with large datasets, questioning inconsistencies and spotting patterns that may need attention.
  • Self-starter in nature who also works well in a complex matrix organisation, where you have to take people with you to achieve goals.
  • Meticulous attention to detail with an ethos of owning data and understanding of the importance of clean and reliable data in an analysis environment.
  • Experience of project working, including proven ability to deliver to deadlines.
  • Experience of logically diagnosing technical issues.
  • Experience of prioritising work effectively.
  • Experience of preparing regular database reports.
  • Experience in communicating effectively with a wide range of colleagues.
  • Experience of working under pressure with high volumes of work.
  • Experience of updating process documents.
  • An understanding of the Data Protection Act 2018 and GDPR.

Desirable

  • Experience of working in the charity, voluntary or public sector, preferably in a fundraising environment.
  • Experience of using BI / Dashboard solutions (e.g Tableau, Power BI) to build analytics dashboards, to present insight and report on KPI’s etc.
