Advice and Guidance Administrator – Fixed Term Until 31/10/2025

Salary: This is a full time role with a full-time equivalent salary of up to £20,952.36 per annum.
Working Hours: 33 hours per week over 4 days, working one in four Fridays, 52 weeks per year.
An exciting opportunity has arisen for an Advice and Guidance Administrator to join our Student Services department.
The purpose of the role is to provide excellent customer service to all students and visitors to the College. To establish and maintain the enquiry database within the College EBS and ensure effective provision of information and administrative support services in response to all enquires related to courses and to take a full part in enrolment and applications processes. To offer advice and guidance within the College.
The successful applicant must have:
- Relevant experience of working in an advice and guidance environment
- Relevant experience of working with the public in a customer service capacity
- Level 2 qualifications in Maths and English, or commitment to gaining within 12 months of employment commencing
- Excellent interpersonal / verbal and written communicational skills.
- Excellent administrative skills and highly organised
- The ability to be a team player who is flexible in their approach to tasks.
- The ability to be a multi-tasker working well under pressure
- Understanding of computer software, e.g. Word, Spreadsheets, Databases and Email
The roles main duties include:
- Acting as the primary point of contact for all enquiries to Grantham College, both external and internal, whether in person, by telephone or email, and to deal with the enquiry quickly and efficiently, and to check the progress of each one through to a conclusion in conjunction with other staff or agencies as appropriate.
- Acting as the primary point of contact for all prospective students wishing to enrol at Grantham College.
- Keeping up to date knowledge of the range of College courses and provide advice on course content, and to put students in contact with other colleagues as appropriate.
- Providing one to one advice and guidance interviews in the College and maintaining records as appropriate.
- Liaising with parents regarding the status of their child’s application.
- Liaising with lecturers and Heads of Curriculum to set up part-time course interviews and respond to queries.
- Using the College EBS system to create and maintain students records including but not limited to: processing applications, enrolling students, processing transfers, accepting payments and administrating refunds, maintaining appropriate documentation for the Finance Department.
- Maintaining records and producing management reports on enquiries, applications, guidance activities, progressions and destinations in conjunction with the Student Services Manager and Careers Adviser as appropriate.
- Acting as a booking agency for the mental health, wellbeing, counselling and careers services by arranging student appointments as they are requested.
- Maintaining the College visitors’ record and diary of visitors’ spreadsheet, meetings and interviews.
- Booking College vehicles and hire vehicles.
- Assisting with all post duties and Marketing/School liaison activity if required.
- Dealing with individual problems and signposting to specialists where appropriate, e.g. Careers Adviser, Mental Health & Wellbeing Adviser, Safeguarding Team or Study Support.
- Supporting Student Progress Review Evenings and Open Events as required.
- Providing cover for the College Reception as required.
- Undertake evening duty for the IAGE/Reception desk on a rota and creating a welcoming and friendly environment, and ensuring the reception area is well maintained, neat and tidy.
- Complying with the College procedures and requirements relating to the privacy, confidentiality and security of the data handled.
- Undertaking Fire Marshall duties.
This role requires you to engage in regulatory activity in the FE sector. The full definition of regulatory activity is set out in the Safeguarding Vulnerable Groups Act 2006 as amended by the Protection of Freedoms Act 2012. Regulated activity includes teaching, instructing, caring for or supervising children if the person is unsupervised.

Grantham College operate a 4-day working week. Staff benefit from a reduction in working hours with full pay. You will work core hours (based on a full-time equivalent contract) of Monday to Thursday, working a Friday morning once a month.
