About the role
We have a brand-new opportunity for an Administrator to join our team based in London. Our London office, the largest in the firm, has extensive experience across all sectors and serves as a hub of activity.
In this role, you will provide vital administrative support to the administrative team, as well as to the Mechanical, Electrical, and Public Health teams. Additionally, you will assist other engineering and business units within the London office.
In this key and varied role, you can expect to:
- Provide reception cover as needed, which includes daily morning and lunchtime duties.
- Answer overflow calls from reception during peak times.
- Assist in organising internal and external meetings as required and with meeting room bookings.
- Occasionally assist with catering for meetings and events following catering procedures.
- Support the admin team in ensuring the smooth operation of our office and administrative tasks.
- Help the admin team and engineers with ad-hoc duties (copy typing, formatting, printing, binding, uploading/downloading documents…).
- Arrange couriers and transportation (booking travel) as required.
- Monitor stock levels and replenish stationery as needed, processing orders online.
- Input data into resource system on a weekly basis.
- Ensure expenses are approved and submitted to central services in a timely manner.
- Support the admin team in setting up project enquiries.
- Reconcile company credit cards statements.
About you
We are seeking a dedicated and organised Administrator to join our team. This role involves a combination of administrative tasks and occasional manual labour to ensure the smooth running of our office. Previous office experience is not essential but the successful candidate will have a meticulous eye for detail and a methodical approach to their work.
To be successful in this role you’ll need:
- Strong organisational skills and the ability to multi-task are essential.
- Excellent communication and interpersonal skills and be confident communicating with people at all levels to enable you to build good working relationships with all those around you.
- Ability to manage expectations and seek help when required.
- Good working knowledge of Word, Excel, PowerPoint and Outlook is essential.
- First Aid and Fire Marshal certification is desirable (training will be provided).
